It happens because of hundreds of small ones:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>&#8220;We&#8217;ll clean up later.&#8221;<\/li>\n\n\n\n<li>&#8220;Let&#8217;s create another copy.&#8221;<\/li>\n\n\n\n<li>&#8220;Just save it here for now.&#8221;<\/li>\n\n\n\n<li>&#8220;We&#8217;ll update the procedure next month.&#8221;<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Months turn into years and the debt grows.<\/p>\n\n\n\n<h2 id=\"h-you-re-already-paying-interest\" class=\"wp-block-heading\">You&#8217;re already paying interest<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Unlike financial debt, information debt doesn&#8217;t issue invoices.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Instead, it accrues over time.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Consider the following situations:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Someone spends ten minutes searching for the latest contract.<\/li>\n\n\n\n<li>A team recreates a document that already exists.<\/li>\n\n\n\n<li>An employee follows an outdated procedure because the previous version has not been archived.<\/li>\n\n\n\n<li>A customer receives conflicting information from two departments.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Individually, these moments may seem insignificant.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Together, however, they can be costly.<\/p>\n\n\n\n<h2 id=\"h-what-information-debt-looks-like\" class=\"wp-block-heading\">What Information debt looks like<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Information debt rarely announces itself.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Instead, it manifests as familiar, everyday frustrations.<\/p>\n\n\n\n<h3 id=\"h-duplicate-documents\" class=\"wp-block-heading\">Duplicate documents:<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Nobody knows which version is correct.<\/p>\n\n\n\n<h3 id=\"h-obsolete-procedures\" class=\"wp-block-heading\">Obsolete procedures:<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Employees keep finding documents that should have been discarded years ago.<\/p>\n\n\n\n<h3 id=\"h-missing-ownership\" class=\"wp-block-heading\">Missing Ownership:<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Everyone assumes someone else is maintaining the information.<\/p>\n\n\n\n<h3 id=\"h-inconsistent-metadata\" class=\"wp-block-heading\">Inconsistent metadata:<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Searches become unreliable because similar documents are classified differently.<\/p>\n\n\n\n<h3 id=\"h-forgotten-workspaces\" class=\"wp-block-heading\">Forgotten workspaces:<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Old Teams channels, SharePoint sites, and project folders continue to accumulate information long after the project has ended.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">None of these problems seem catastrophic.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Together, however, they create friction across the entire organization.<\/p>\n\n\n\n<h2 id=\"h-why-ai-makes-information-debt-more-visible\" class=\"wp-block-heading\">Why AI makes information debt more visible<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Artificial intelligence is changing expectations.<br><br>People now expect to be able to ask questions such as:<br><br>&#8220;Show me the latest approved supplier contract.&#8221;<br><br>Or:<br><br>&#8220;Find the current on-boarding procedure.&#8221;<br><br>These questions sound simple, but the answers aren&#8217;t.<br><br>If the system contains three conflicting versions, incomplete metadata, and outdated documents, AI can&#8217;t magically create trustworthy information.<br><br>It simply exposes the existing chaos faster.<br><br>In many ways, AI isn&#8217;t creating new information problems. It&#8217;s revealing the ones that were already there.<\/p>\n\n\n\n<h2 id=\"h-the-real-cost-isn-t-storage\" class=\"wp-block-heading\">The real cost isn&#8217;t storage<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">When organizations discuss information problems, storage costs often dominate the conversation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Storage has become relatively inexpensive.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">However, poor decisions have not.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The real costs are:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>time wasted searching,<\/li>\n\n\n\n<li>duplicated work,<\/li>\n\n\n\n<li>compliance risks,<\/li>\n\n\n\n<li>delayed decisions,<\/li>\n\n\n\n<li>lost organizational knowledge.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Information debt isn&#8217;t measured in gigabytes.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It&#8217;s measured in productivity.<\/p>\n\n\n\n<h2 id=\"h-how-to-reduce-information-debt\" class=\"wp-block-heading\">How to reduce information debt<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The good news is that information debt can be reduced.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Not by launching another massive migration project.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But by improving how information is managed every day.<\/p>\n\n\n\n<h3 id=\"h-give-information-an-owner\" class=\"wp-block-heading\">Give information an owner<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Every important document should have someone responsible for ensuring its accuracy.<\/p>\n\n\n\n<h3 id=\"h-manage-the-lifecycle\" class=\"wp-block-heading\">Manage the lifecycle<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Information shouldn&#8217;t live forever.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In fact, <a href=\"https:\/\/www.dbi-services.com\/blog\/the-lifecycle-of-a-document-is-more-important-than-the-document-itself\/\" target=\"_blank\" rel=\"noreferrer noopener\">document lifecycle management<\/a> is often more valuable than the document itself.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Drafts, approved versions, archives, and deletion are all important.<\/p>\n\n\n\n<h3 id=\"h-design-better-metadata\" class=\"wp-block-heading\">Design better metadata<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Good metadata reduces ambiguity and improves search results.<\/p>\n\n\n\n<h3 id=\"h-remove-what-no-longer-creates-value\" class=\"wp-block-heading\">Remove what no longer creates value<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Just because information makes sense at one point in time doesn&#8217;t mean it will always be the case. Deleting obsolete information is often just as important as creating new information.<\/p>\n\n\n\n<h3 id=\"h-automate-repetitive-governance\" class=\"wp-block-heading\">Automate repetitive governance<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Retention rules, approval workflows, and automatic notifications prevent debt from accumulating.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Small improvements compound over time. Just like debt.<\/p>\n\n\n\n<h2 id=\"h-prevention-is-easier-than-cleanup\" class=\"wp-block-heading\">Prevention is easier than cleanup<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">One of the biggest misconceptions is that organizations can clean up anything later.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In reality, information grows faster than cleanup projects can handle.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The longer debt accumulates, the harder it is to determine what information is still valuable.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The best time to prevent information debt is before it becomes invisible.<\/p>\n\n\n\n<h2 id=\"h-the-real-debt-to-pay\" class=\"wp-block-heading\">The real debt to pay<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Technical debt affects software.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Information debt affects people.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Every duplicate document is an example of information debt. A forgotten workspace, an outdated procedure, or an inconsistent metadata property also contribute to information debt.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">These are all small decisions that shape tomorrow&#8217;s productivity.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Organizations that succeed with <a href=\"https:\/\/info.aiim.org\/what-is-ecm\" data-type=\"link\" data-id=\"https:\/\/info.aiim.org\/what-is-ecm\" target=\"_blank\" rel=\"noreferrer noopener\">enterprise content management<\/a> aren&#8217;t necessarily the ones with the most advanced technology.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">They&#8217;re the ones that continuously reduce information debt before it becomes impossible to repay.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The most expensive document isn&#8217;t the one you lose.
