You\u2019re dealing with an implementation problem rooted in ignoring users.<\/p>\n\n\n\n<p>This blog takes a user-centric approach to explore why ECM initiatives fail and how to address the issue.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-the-myth-users-resist-change\">The Myth: Users resist change<\/h2>\n\n\n\n<p>One of the most persistent myths about ECM projects is that users resist change.<\/p>\n\n\n\n<p>In reality, however, users resist friction, not change.<\/p>\n\n\n\n<p>Think about it:<br>People adopt complex apps like Excel and SAP, as well as dynamic tools like Monday.<\/p>\n\n\n\n<p>They learn new systems all the time when those systems help them do their job better.<\/p>\n\n\n\n<p>So, when users resist on ECM, it\u2019s not because they\u2019re stubborn.<\/p>\n\n\n\n<p>It&#8217;s because the system makes their work harder, not easier.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-nbsp-where-ecm-implementations-go-wrong\"><strong>&nbsp;<\/strong>Where ECM implementations go wrong<\/h2>\n\n\n\n<p>Let\u2019s break down the most common failure patterns.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-designing-for-governance-not-for-humans\">Designing for governance, not for humans<\/h3>\n\n\n\n<p>Many ECM systems are designed top-down:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Compliance requirements first<\/li>\n\n\n\n<li>Retention rules<\/li>\n\n\n\n<li>Folder structures<\/li>\n\n\n\n<li>Security models<\/li>\n<\/ul>\n\n\n\n<p>But where\u2019s the user?<\/p>\n\n\n\n<p>When governance becomes the primary design driver, you end up with:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Deep, confusing hierarchies<\/li>\n\n\n\n<li>Mandatory metadata users don\u2019t understand<\/li>\n\n\n\n<li>Rigid processes that don\u2019t match real workflows<\/li>\n<\/ul>\n\n\n\n<p>\ud83d\udc49 Result: Users either bypass the system or use it incorrectly.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-just-one-more-mandatory-field\">\u201cJust One More Mandatory Field\u2026\u201d<\/h3>\n\n\n\n<p>Metadata is essential. However, overengineering it is a common mistake.<\/p>\n\n\n\n<p>You\u2019ve seen this before:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>15+ required metadata fields<\/li>\n\n\n\n<li>Drop-downs with cryptic business terms<\/li>\n\n\n\n<li>Fields that don\u2019t apply to 80% of use cases<\/li>\n<\/ul>\n\n\n\n<p>From the user&#8217;s perspective: \u201cI just want to save the document! Why is this so complicated?&#8221;<\/p>\n\n\n\n<p>\ud83d\udc49 Result:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Poor data quality (users rush through fields)<\/li>\n\n\n\n<li>Shadow IT (files stored elsewhere)<\/li>\n\n\n\n<li>Low adoption<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-ignoring-real-workflows\">Ignoring real workflows<\/h3>\n\n\n\n<p>Many ECM projects are designed based on how processes should work rather than how they actually work.<\/p>\n\n\n\n<p>But users operate in a messy reality:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Emails drive decisions<\/li>\n\n\n\n<li>Documents evolve across multiple versions<\/li>\n\n\n\n<li>Exceptions happen<\/li>\n<\/ul>\n\n\n\n<p>If your ECM forces users into a rigid \u201chappy path,\u201d they will:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Work outside the system<\/li>\n\n\n\n<li>Duplicate content<\/li>\n\n\n\n<li>Lose trust in the platform<\/li>\n<\/ul>\n\n\n\n<p>\ud83d\udc49 Result: ECM becomes an archive, not a working tool.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-poor-search-experience\">Poor search experience<\/h3>\n\n\n\n<p>Let\u2019s be honest, if users can\u2019t find documents quickly, the system is already broken.<\/p>\n\n\n\n<p>Common issues:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Inconsistent metadata<\/li>\n\n\n\n<li>Weak full-text search<\/li>\n\n\n\n<li>No relevance ranking<\/li>\n\n\n\n<li>No personalization<\/li>\n<\/ul>\n\n\n\n<p>Users compare your ECM search to Google. That\u2019s the &#8220;Standard&#8221;.<\/p>\n\n\n\n<p>\ud83d\udc49 Result:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\u201cI know it\u2019s somewhere, but I\u2019ll just recreate it.\u201d<\/li>\n\n\n\n<li>Massive inefficiency<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-training-vs-adoption\">Training vs. adoption<\/h3>\n\n\n\n<p>Many organizations rely heavily on training:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Workshops<\/li>\n\n\n\n<li>User manuals<\/li>\n\n\n\n<li>Recorded sessions<\/li>\n<\/ul>\n\n\n\n<p>But here\u2019s the truth: If your system requires heavy training, it\u2019s already too complex.<\/p>\n\n\n\n<p>Good User Experience reduces the need for training.<br>Bad User Experience makes training necessary.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-the-real-problem-lack-of-user-centric-design\">The real problem: lack of User-Centric design<\/h2>\n\n\n\n<p>At their core, failed ECM implementations share one trait.<\/p>\n\n\n\n<p>They optimize for the system, not the people using it.<\/p>\n\n\n\n<p>User-centric design means:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Understanding daily tasks<\/li>\n\n\n\n<li>Reducing cognitive load<\/li>\n\n\n\n<li>Supporting real workflows<\/li>\n\n\n\n<li>Minimizing friction<\/li>\n<\/ul>\n\n\n\n<p>Without this, even the best ECM platform (M-Files, Alfresco, OpenText, etc.) will fail.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-what-user-centric-ecm-looks-like\">What User-Centric ECM looks like<\/h2>\n\n\n\n<p>Now let\u2019s flip the script.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-start-with-user-jobs-not-features\">Start with user jobs, not features<\/h3>\n\n\n\n<p>Instead of asking: \u201cWhat features do we need?\u201d<\/p>\n\n\n\n<p>Ask: \u201cWhat are users trying to accomplish?\u201d<\/p>\n\n\n\n<p>Examples:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Close a customer case quickly<\/li>\n\n\n\n<li>Prepare a contract<\/li>\n\n\n\n<li>Find the latest version of a document<\/li>\n<\/ul>\n\n\n\n<p>Design around these outcomes!<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-make-metadata-invisible\">Make Metadata Invisible<\/h3>\n\n\n\n<p>The best ECM systems don\u2019t feel like ECM systems.<\/p>\n\n\n\n<p>There are several strategies to achieve this objective: auto-classification, context-based default values, and AI-based suggestions.<\/p>\n\n\n\n<p>The goal is to reduce the need for typing and increase relevance.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-design-for-the-80-case\">Design for the 80% case<\/h3>\n\n\n\n<p>No matter what kind of business you&#8217;re in, there will always be special cases. It&#8217;s pointless to spend hours or days coming up with hypothetical exceptions.<\/p>\n\n\n\n<p>Instead focus on:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The most common user journeys<\/li>\n\n\n\n<li>The simplest possible interaction paths<\/li>\n<\/ul>\n\n\n\n<p>Keep the complexity behind the scenes, not in the UI.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-build-search-as-a-first-class-experience\">Build search as a First-class experience<\/h3>\n\n\n\n<p>Search is not just a feature, it\u2019s the primary interface for many users.<\/p>\n\n\n\n<p>Invest in it.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Clean metadata models<\/li>\n\n\n\n<li>Relevance tuning<\/li>\n\n\n\n<li>Filters that make sense<\/li>\n\n\n\n<li>Fast performance<\/li>\n<\/ul>\n\n\n\n<p>\ud83d\udc49 If users trust search, they\u2019ll trust the system.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-integrate-into-daily-tools\">Integrate into daily tools<\/h3>\n\n\n\n<p>On average, a user working with documents uses 10 tools per day, such as Outlook, Teams, Word, ERP, and business applications. Adding another tool for content management would be cumbersome. <\/p>\n\n\n\n<p>Users want ECM integrated into their existing tools. This is one of <a href=\"https:\/\/www.m-files.com\/m-files-platform\/integrations\/microsoft\/\" target=\"_blank\" rel=\"noreferrer noopener\">M-Files&#8217; major advantages<\/a>. The best ECM is the one we can&#8217;t see.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-mindset-shift\">Mindset shift<\/h2>\n\n\n\n<p>The real shift is simple yet powerful. Instead of asking, &#8220;How do we get users to adopt ECM?&#8221; ask, &#8220;How do we make ECM worth adopting?&#8221; This change in perspective redefines everything. <\/p>\n\n\n\n<p>As I already wrote it in another <a href=\"https:\/\/www.dbi-services.com\/blog\/why-ecm-projects-fail-even-with-good-tools\/\" target=\"_blank\" rel=\"noreferrer noopener\">post<\/a>, ECM failure is rarely about the technology itself, it\u2019s about empathy. <\/p>\n\n\n\n<p>When systems are designed without a deep understanding of how people actually work, the result isn&#8217;t just some mild resistance, it&#8217;s outright rejection. <\/p>\n\n\n\n<p>However, when you align ECM with real user behavior and needs, adoption becomes natural, data quality improves organically, and the system&#8217;s value becomes apparent. <\/p>\n\n\n\n<p>So, the next time users complain about your ECM, don&#8217;t blame them.
