In week 29 of 2026, M-Files released a new version of its widely known and used M-Files Compliance Kit. This is especially useful if you are looking for advanced workflow capabilities or working in a regulated environment. The Compliance Kit is an essential tool.
This first version of the 2026 edition was followed by several smaller updates and fixes, culminating in version 2026 (26.9.16376.0).In this blog, I will highlight some of the improvements that I consider significant. The full release notes can be found on the M-Files official website.

New features and improvements

This does not reflect the complete list, but it does include some of the most important parts.

Features

• Object Creator commands and groups can use custom icons (including your own SVG or image-based icons).
• You can create and arrange custom task bar groups, control their placement and priority, and merge them with built-in groups.
• Commands can be shown outside their group in the context menu to match the classic client’s layout.
• Existing configurations continue to work with no changes required — classic client behavior is preserved, and legacy icons are reused automatically in newer clients where appropriate.
• CAD File Preview Support
  CAD files with extensions .dwg, .dxf, .dwt, and .dgn can be previewed within the new Clients Preview tab, utilizing the active layout. The maximum supported file size is 50 MB. Previews are generated using a converted PDF format. Administrators have the capability to enable this conversion process for workflow state transitions or on-demand PDF conversion through the “Configuration>PDF Conversion (Indexing, File Preview, Workflows)>CAD Files>Enable On-Demand Conversion” setting, which is disabled by default.

Improvements

• Activity feed now identifies AI-driven changes
  When an object’s metadata is edited automatically based on an AI response, the activity feed now shows “M-Files AI” as the editor instead of a generic “M-Files” entry, making it clearer when a change was made by AI rather than a person.
• Icons in view listing columns
  The new M-Files client now shows a small icon next to value-list values in view listing columns — Workflow, Workflow state, Class, Object Type, and any custom value list item — so users can recognise the state, class, and type of each object at a glance without opening it.
• Improved metadata card appearance
  The metadata card now correctly displays custom colors for property group headers and descriptions. This ensures a more consistent and visually clear experience when viewing object details.
• Drag-and-drop support for relationships and document collection management
  Users can now drag and drop one or multiple objects onto another object in the listing to add documents to a document collection, establish relationships, append files to a multi-file document, or replace a file’s content.
• Edit documents stored in M365 Storage using Web Co-Authoring
  You can now open and co-author documents directly in the Office Web version using the new ‘Edit in Web’ option in the context menu. This makes it easier to collaborate online without needing the Office Desktop application.
• UIXv2: show multiple dashboards in a popup window
  You can now display up to three dashboards side by side in a pop-up window using the UI extensibility framework (UIXv2). This helps you compare information and work more efficiently without switching views.

As previously mentioned, a large number of improvements have been made and many defects have been fixed. Please refer to the official M-Files documentation for further details.

Installation and Update process

I can confirm that the installation and update process was very straightforward and worked without any issues. As always, you can simply install the new Vault Framework application in the Vault. There is no need to uninstall the previous version.

After installation, navigate to the Compliance Kit configuration in the Vault. As in previous versions, an update button will be displayed. Pressing this button starts the update process, which went very well in my test. Afterwards, the Compliance Kit worked as expected, with all configurations and settings remaining intact.

After restarting and refreshing the vault, the upgrade application is shown under configuration. Next, we can start the final update process by pressing the button, as shown in the screenshot.

Once again, the M-Files Admin Tool is refreshed and the result of the update confirms that the new version of the Compliance Kit is 2026.

Example of new features

The examples below demonstrates the new features of the M-Files Compliance Kit 2026, as implemented in a Quality Management System (QMS) demo vault.

The picture below shows the new features based on an approved change request. Refer to the cycle in the picture to see the commands available for an approved change request. This makes it very easy to create a new document based on the approved change request.
This function was already available in the classic client but was sorely missed by almost every user in the new client.

Installation

The installation is very straight forward and well documented, it can take some time for the creation of the necessary self signed certificated for the Microsoft Azure Application. In addition, you must ensure that you have management access to the Microsoft Azure Admin Centre or an admin aside to perform the required steps

I will. not go through each step in detail, but I will highlight important steps from my point of view. The step by step documentation can be found on the M-Files web page for Integrations.

Important steps:

• Allow third-party cookies for Outlook Web.

• Ensure that the lins below not blocked by the firewall.

• Create a self signed certificate and convert them to be able to configure the M-Files Vault Application.
• Create and configure the Application in Azure, according the M-Files documentation.
• Installation and configure the M-Files Vault Application, just follow the M-Files documnetation.
• Install or deploy the M-Files for Outlook add-in. It is a certified Microsoft application. It can be installed individually or deployed to a specific group of users. This is the standard Microsoft process.
  

Create a self signed certificate for use in a cloud setup

Open PowerShell with administrative access and use the command below.

To convert the certificates, you will need to use OpenSSH and Cygwin. M-Files strongly recommends using Cygwin. I encountered issues when I did not use Cygwin and it did not work.
Conversion is required in order to configure the certificate within the M-Files Vault application.

After the installation of Cygwin the command below must be executed in a Cygwin command window.

openssl pkcs12 -in MyCert.pfx -out MyCert.pem -nokeys

openssl pkcs12 -in MyCert.pfx -out MyCert.key -nocerts

openssl rsa -in MyCert.key -out MyCert_encrypted.key -aes256

Configure the Outlook and M-Files rules

You can use the Outlook and M-Files rules to automatically save received emails to the M-Files system. It is important to understand how each rule works within the M-Files Outlook add-in. This differs from creating an object in M-Files, where the workflow and required state must be explicitly defined.

Open the M-Files Outlook Add-In in Outlook and navigate to “Manage folder rules.

The screenshot below shows the configuration of the Outlook folder “Firma A – Projekt A”, which will be imported automatically and assigned to the M-Files class ‘Email Import’. Additionally, the “Email Import Validation” workflow with the state “Import prüfen” is assigned.
If the workflow is not defined in the rule, it will not be assigned as expected. As we know, when a new object is created in M-Files, the workflow of the class is used automatically.

Conclusion

In order to automate the process of moving incoming emails into M-Files, two steps are required. First, define the usual Outlook rule, then create a rule in the M-Files Outlook add-in, as explained above.

In M-Files besteht die Möglichkeit, Benachrichtigungen, sogenannte Zuweisungen, auf Basis von Ereignissen zu automatisieren. Die M-Files Benutzer werden zum einen direkt in M-Files mittels Zuweisungen informiert und zum anderen per E-Mail.

Derzeit wird empfohlen, die Benachrichtigungsregeln mit dem klassischen M-Files-Client zu konfigurieren, da dieser die detailliertesten Konfigurationsmöglichkeiten bietet.

Benachrichtigungen erstellen

Die Konfiguration kann durch Klicken auf den Benutzernamen in der rechten Ecke aufgerufen werden.

Im Benachrichtigungsfenster haben Sie einen Überblick über die konfigurierten Benachrichtigungen und haben auch die Möglichkeit, diese zu bearbeiten oder Neue zu erstellen.
Es gibt zwei Arten von Benachrichtigungen: “Sofort” oder “Einmal pro Tag”. Dies ist am Punkt “Nachrichtenszustellung” erkennbar.

Um eine neue Benachrichtigungsregel zu erstellen, klickt man einfach auf die Schaltfläche „Hinzufügen”. In der Folge öffnet sich das unten dargestellte Fenster und Sie haben die Möglichkeit, die Konfiguration durchzuführen.

Im nächsten Schritt ist ein Name für die Benachrichtigungsregel zu vergeben. Bitte wählen Sie anschließend eine der folgenden Optionen aus, um die Benutzerzuweisung zu definieren:

• Private Regel
• Allgemeine Regel

Über die Schaltfläche „Empfänger” können bei der Auswahl „Allgemeine Regel” diese genauer spezifiziert und eingegrenzt werden.

Im oberen Beispiel wird für den Benutzer „Andreas Trefzer” eine Benachrichtigung versendet. An alle anderen Benutzer wird jedoch keine Benachrichtigung versendet.

Vordefinierte Benachrichtigungsregeln

Um festzulegen, bei welchem Ereignis eine Benachrichtigung versendet wird, stehen zwei verschiedene Auswahlmöglichkeiten zur Verfügung.

• Beim Auftreten eines ausgewählten Ereignisses
• Wen ein Objekt den Filterbedingungen entspricht

Die einfachste und schnellste Definition ist mittels der vordefinierten Ereignisse möglich und auch zu empfehlen, sofern diese den Anforderungen entsprechen. Bitte beachten Sie dazu die orangen Boxen im unteren Bild.

Einsatz von Filtern

Falls die vordefinierten Ereignisse nicht ausreichen, können Sie über die Option „Wenn ein Objekt den Filterbedingungen entspricht” und die Schaltfläche „Filter definieren” eine genaue und detaillierte Definition erstellen. Die Bildschirmfotos unten zeigen, was alles möglich ist. So kann auf Basis der Metadaten, des Dateityps oder der Berechtigung eine genaue Filterung zum Auslösen einer Benachrichtigung definiert werden.

Um eine Benachrichtigung an sich selbst zu vermeiden, kann dies mit der im Bildschirmfoto unten markierten Schaltfläche verhindert werden.

Requirements

• M-Files May 2024 Update or later
• M-Files Plugin for Microsoft Teams with the version 24.3.2.0
• Make sure that you have enough concurrent licenses in the vault. This is because people without access to M-Files use concurrent licenses
• The add-in requires a few Microsoft Graph API permissions
• Microsoft Entra ID is configured
• Encrypted gRPC connection must be enabled

This list details the most important requirements. For a full list of requirements, please refer to the official M-Files documentation.

Please also be advised of the fact that external users of Microsoft Word Online are able to open documents only, and are not permitted to save files in this program.

Installation and configuration

In order for the software’s functionality to be fully utilised, it is recommended that the add-in and M-Files Teams integration plugin are installed.

Should you elect to install only the add-in, please be advised of the limitations detailed below.

• The users cannot share M-Files content to people outside the organization
• You must configure the Federated Authentication settings manually
• In future updates the add-in will be come a requirement

Add-in configuration

The configuration and installation of the add-in is a two step activity. One part is in the M-Files Admin the other part has to be done in the Microsoft Teams admin center. The detailed configurations steps are documented in the M-Files documentation.

Plugin configuration

For the Plugin for Microsoft Teams you must install the M-Files Vault application, create and configure a scope for the federated authentication and configure the Plugin. Same as for the add-in, it is recommended to follow the official M-Files documentation.

Benefits for non M-Files users

The primary advantage of utilising the Microsoft Teams integration is the ability to share M-Files content with users who do not possess an M-Files account. This feature is instrumental in enabling companies to share a specific set of documents with their entire team, enhancing collaboration and efficiency. One example of this would be internal guidelines such as HR processes. M-Files is an effective system for the management of such documents, with version control enabled to ensure seamless control over all versions of files.

Should you require clarification on the implementation and functionality of the permission, or wish to confirm that documents are always shared in accordance with the permission set in M-Files, please do not hesitate to get in touch. It is imperative to ensure that the restricted access settings are always adhered to.

Functions

In this chapter we will have look to the benefits and functions, I will explain based on screenshots of an existing implementation.

The image on the left shows a Teams client. If you look at the orange cycle, you will see the Teams channel. If you look closely at the star, you will see the M-Files tab.

Here you can see how to create documents in the same way as you can do it in M-Files itself.

Microsoft Teams offers a consistent user experience comparable to that of the M-Files client. The functionality is restricted to the view that is made available in Teams. As demonstrated, the system enables full functionality and provides a preview option.

The following list provides an overview of the tasks that can be performed outside the Teams client, provided that the necessary access rights in M-Files have been granted, of course.

• Share an object only with M-Files users
• Stop sharing objects with M-Files users
• Delete a tab 
• Share an object with everyone
• Stop sharing an object with everyone
• Share with current channel members

It is also possible to enable collaboration. This will allow users within Microsoft Teams to upload, download or work with the documents available in the Teams tab. Please be aware that these users will consume M-Files concurrent licenses. Should you wish to learn more about this topic, I would be happy to write a dedicated blog post on the subject.

Conclusion

This is an alternative and efficient method of working with a defined part of a document stored in M-Files directly from a placeholder that you use most frequently on a daily basis. M-Files offers a connector that can meet these needs. In this blog, we will examine the functionality it will provide and the steps required to enable it.

Requirements

In order to successfully install and enable the M-Filers connector for Microsoft Copilot, it is essential to meet the following requirements.

• License for the M-Files Connector for Copilot. (In the M-Files Business Platform is the connector included)
• M-Files Server version 24.9 or later
• TLS 1.2 or later is enabled
• Administrative rights in the M-Files vault
• Administrative rights in the Microsoft Entra ID tenant
• End-users must have
  • An Entra ID
  • A license including Microsoft Copilot
  • Matching email address in Entra ID and M-Files Manage

Limitations

• A maximum of 30 connections per tenant. (Important to understand is that this is the amount to of all connections, not limited to M-Files)
• A maximum of 50 million items per tenant
• A maximum of 500 GB in connection size
• A maximum of 128 properties per schema
• A maximum of 4 MB of text content for one item

Use Case description

In this use case, we facilitate the integration of documents with Microsoft Copilot. These can subsequently be utilised by Copilot, for instance, in the context of self-developed Copilot Agents. Please note that these self-developed agents are not subject to disclosure to the public. Please be advised that they will remain within the security perimeter of your Microsoft 365 tenant.

We use the M-Files property “Copilot” to enable the content. All documents set to “‘yes” are enabled for Microsoft Copilot.

Configurations

This section exclusively covers the implemented configuration settings. For comprehensive instructions on configuration, please refer to the official M-Files documentation.

In order to limit the scope of the document uploaded to Microsoft Copilot, the following configurations were applied. These configurations can be set in the M-Files Admin tool under the M-Files Copilot Connector.

• Object type: “Document“
• Additional Conditions: “Copilot = Yes“

Use Case results

In this showcase, I will demonstrate the functionality from the perspectives of both M-Files Vault and Microsoft Copilot. The demonstration will be observed from the viewpoints of two users, each with different access rights in both worlds.

List of the user accounts to demonstrate the use case:

Microsoft 365 Administrator
This user has no access to the M-Files Vault

M-Files Demo User
The user is part of the Microsoft tenant

To illustrate the use case, I will use a document named “EN-CNTNT-eBook-SRGCM11924.pdf“. The document is stored in the M-Files Vault and belongs to the object type “Documents” and class “Other Documents“. The “Other Documents” class includes a property called “Copilot“, which is used to enable the document for Microsoft Copilot, as previously outlined.

If you look at the screenshot on the right, you can see the M-Files Vault. This screenshot shows the document object, and the property “Copilot” that is set to “yes“.

If you set your document up like the screenshot above, it will automatically upload to Microsoft Copilot and you can then use it from there. The screenshot below shows what it will look like in Microsoft Copilot, based on a search with the configured M-Files vertical.

The Microsoft 365 Administrator has obtained the following results when searching for Copilot. In the blue cycle, you can see the configured vertical for M-Files. He has an account in the tenant which is configured in the M-Files Vault, but he does not have an account or access to it.

This is what the M-Files Demo user can see. The user with the user picture of a cat.
The user has access to the M-Files Vault and is part of the Microsoft tenant that is set up in the Vault.

The screenshot below presents a side-by-side comparison of the results for additional clarification.

As can be seen in the pictures above, only users with access to the M-Files Vault can access and work with the content in Microsoft Copilot.

Conclusion

The M-Files Connector for Microsoft Copilot is an ideal solution for businesses that already own or plan to purchase a Microsoft 365 subscription as part of their IT strategy. Should you be willing to accept the limitations and consent to the movement of your data outside of the security boundaries of your M-Files vault, then this will be a possible option.

As I previously outlined in a previous blog post on M-Files and Microsoft. Microsoft Copilot capabilities will be made available in a M-Files Vault that uses Sharepoint Embedded in the near future. Once enabled, the Microsoft collaboration can access the data stored in the M-Files vault in the Sharepoint Embedded container directly. This will resolve the issue of the security boundary, as they will not be leaving the company security area. Further details about this option will be provided in one of my subsequent blogs, following the official release planned for November 2025.

What means native and what is the differentiator to other ECM’s

In this context, “native” means that documents stored in M-Files can be edited using the native capabilities of Microsoft 365, such as Co-Authoring. It is not necessary to move or copy the data outside of M-Files in order to use the Co-Authoring capabilities of Microsoft 365.
As we are aware, the functionality of these features is contingent upon the storage of data within the Microsoft 365 Tenant of the collaborating users working on a document.

This new experience is only possible because the documents are stored in the same back-end storage system. Currently, Microsoft has made this possible especially for M-Files as they work close together in the development of the M-Files Sharepoint Embedded Application. No other content management vendor has this deep partnership and integration in Sharepoint Embedded.

Benefits and Differentiator

• No need to move the documents outside of M-Files
• The security is always managed by M-Files
• The desktop application of the Microsoft Office can be used
• True Collaboration Anywhere, it doesn’t matter from which application the co-authoring is started (Microsoft Office Suite or M-Files Vault)
• No More Version Chaos
• User stay in the application they know and benefit from M-Files features

Technical background

It is called native because the data is stored in the Microsoft 365 storage of the client tenant, like his other Microsoft 365 native documents.

How is this possible ?
M-Files developed a Microsoft Sharepoint Embedded (SPE) application to store the M-Files data in a SPE storage container. This enables the possibility to get use of the Microsoft 365 capabilities like a Microsoft Co-Authoring. In addition, such a SPE container allows to respect the defined security boundaries of a M-Files Vault.

Illustration of the storage changes

The diagram below illustrates the high-level architecture. The key point to take away from this is the importance of understanding the change in data storage location.
At present, M-Files stores data in Azure Blob Storage, as illustrated in the orange box of the diagram. By enabling of the co-authoring function this will change.
Please note that data for Microsoft 365 will be stored in a SPE container in the Microsoft 365 Tenant, as shown in the blue box in the diagram. All other data is stored in a new Blob Storage area, as shown in the green box.

The Master Storage, displayed centrally, is responsible for managing the allocation of data to its designated storage locations.

Enablement

To enable the function the following prerequisites must be taken in consideration.

• M-Files Cloud is required
• M-Files Sharepoint Embedded requires admin consent in the Microsoft 365 Tenant
• At least a M-Files Business user license is required
• The M-Files Enterprise Application must be configured in the Microsoft Admin Center and the users in scope must be added
• In M-Files Manage the user provisioning configuration for the M-Files Enterprise Application must be configured

The process to enable it is very straightforward, only the two steps below are required, and these are clearly documented by M-Files.

• Grant tenant-wide admin consent to the M-Files SharePoint Embedded application in Microsoft 365.
• Enable desktop co-authoring in the M-Files Admin tool vault properties

It is important to understand that all data will move to the new storage and this cannot be reverted!

It also offers an AI implementation, which makes things much less complex and reduces implementation time considerably. In the last version that I reviewed and tested, I discovered the possibility of using a local AI implementation. This means that AI servers which are not under your own control can be eliminated. As you can imagine, this is a game changer, as it puts your data back under your own government’s control, which is a major achievement in terms of security requirements.

Introduction to the use case

In this blog, I will present a possible implementation based on the handling of invoices. We will import them, split them and extract the metadata. The next step is straightforward: we will store them in a M-Files vault, including the PDF and the metadata we defined.

The diagram below clearly shows the high level of the technical requirements and provides a comprehensive overview of the necessary infrastructure and software.

The first step in the process is to add the documents to the designated hot folder. This will initiate the automatic document handling process.

It is possible to move a document manually from an email or directly from a scanner, and add it to the hot folder.

How the documents import works.

Chronoscan regularly verifies the hot folder for new documents. Should a valid document be identified, the system will initiate the import, analysis and export processes. In this example, we will follow the steps outlined in the diagram below when importing the document.

Finally the import to M-Files

In the final stage of the process, the document and its extracted metadata are exported to the M-Files Vault. As is clearly evident. Please refer to the image below for further information. The document has been correctly assigned to the relevant document class, including the defined metadata.

M-Files Outlook Pro is an M-Files integration for Microsoft Outlook within an M-Files Vault. It works with both the new Outlook Client and the Outlook Web-Client. To ensure backward compatibility, it is also compatible with Outlook Classic Client.

The M-Files for Outlook Add-In (Classic Outlook) is currently in maintenance mode. It is important to note that there are no new features being developed. Only critical bug fixes will be provided.

M-Files Outlook Pro connected to an M-Files Vault

The screenshots below provide a comprehensive overview of the M-Files Outlook Pro interface and how it integrates with an M-Files Vault.

The Outlook Client with the integrated M-Files button is shown on the left.

Clicking on the blue M-Files button allows you to easily store the email in the M-Files vault.

The second picture shows the dialogue box that allows you to select the desired class. Moreover, the metadata that should be used can be selected.

The screenshot on the right shows the email stored in an M-Files vault. In this demonstration, I have selected the Outlook Pro class. You can adjust this according to your specific needs.

Another useful thing about Outlook Pro is that it can automatically save emails to M-Files based on Outlook rules. I’ll share more details on this topic in a follow-up blog. Keep an eye out for this blog, which will be published in the next couple of weeks.

Conclusion

M-Files Outlook Add-In versions are Microsoft Office Web add-ins. You can install them in two ways: via Microsoft 365 or via a manifest in a Microsoft environment.

The lite version is the optimal choice for those with a limited need to store emails and attachments in an M-Files Vault, and when a manual process is an option.
Should you require a solution for storing large quantities of emails and attachments, the Pro version is the optimal choice. This is especially useful if you need to make email conversations available for an entire team, such as customer or vendor management.

On the 1st of July 2025 M-Files and Microsoft announced their strategic partnership with the headline “M-Files and Microsoft Announce Strategic Partnership Revolutionising Document Management”
I was wondering myself what does this will mean for us and a M-Files Partner and for our customers. What are the new features and benefits. In this blog article I will share the information and my perspective about this phantasmic announcement.

One of the hot topics is the fundamental shift of how enterprise content is managed within the M-Files and the Microsoft ecosystem.

Main Features

Thanks to the strategic partnership between M-Files and Microsoft, M-Files will now be able to use features such as the ones below. This unlocks the native Microsoft 365 capabilities for M-Files AI-curated content.

• SharePoint Embedded
• Document co-authoring

This powerful solution is native to Microsoft 365, offering the best of both worlds.

New Features and Enhancement highlights

Visual Workflows

During the M-Files Global Conference 2025, the launch of visual workflows was announced to great enthusiasm. I actually heard about the implementation of this feature several months ago and have been waiting for it ever since. I am therefore very happy that it is now available, as it will provide real added value for M-Files end users. Graphical views are easier for people to understand when they want to quickly grasp the status of a task or, in this case, the workflow of a document.

The screenshot below shows the new graphical view. As you can see, the current workflow status and the next step are displayed at the bottom. Furthermore, if you are the person with the next action in the workflow, there are buttons above the workflow status to easily perform the action.
For me, the action buttons in the new client are key, as the new client does not have the left-hand actions bar that the old client has. In my opinion, this implementation enhances the end-user experience and encourages end-users to migrate to the new, modern client.

Global Search

With global search enabled in the M-Files client, you can search all the vaults you have access to. Furthermore, the home screen now displays all the vaults that you have access to. You can access them with just one click.
You can also perform global searches directly using the search box on the home screen. This enhancement is especially useful for users who have access to multiple M-Files vaults, like me. It makes my work faster and smoother and is a great feature.

Co-authoring improvements

Create new Office documents and co-author them in Microsoft 365 Office desktop applications. This new release makes co-authoring the default behaviour when opening a document. See the latest live document changes in M-Files. Any user with the necessary access rights can co-author a document and save new versions of the document to M-Files.

M-Files URL improvements

The implementation of this feature is a clear statement of the willingness to integrate the known functions from the M-Files Classic Client in the new and modern M-Files Client. I had a look in to the client development roadmap and it confirms me the commitment of M-Files to enhance the new and much faster client to make them available for the end-users. The next logical step was to enable and improve URL handling. Please find below a brief summary of the URL improvement news.

• Open view and edit specified document in Web via links
• Support for search links
• Property-based search in Web and Desktop via Links
• External ID support for objects in grouping levels

Conclusion

I am pleased to inform you that a new client will be available in June for all M-Files end-users. In my professional opinion, the most significant enhancement is the implementation of the graphical workflow, and of course the deeper integration within the Microsoft ecosystem, with the enablement of co-authoring with M-Files.
